Gradebook

The Gradebook is where marks get entered, reviewed and corrected — for any class, any subject, any teacher's grades — from the admin side.

Accessing the Gradebook

Click Gradebook in the sidebar.

The Gradebook Grid

The main Gradebook page shows one class at a time as a grid: students down the side, one column per exam or assessment that's been saved.

  1. Pick a class from the dropdown
  2. Optionally narrow to one subject, or leave it on All subjects

TIP

Click any score cell to edit it right there — it turns into a box you can type a new number into. Press Enter or click away to save, or Escape to cancel. A score above the assessment's maximum, or a negative one, is rejected before it saves. Inline edits need a connection — see Grade saves need a connection.

Report cards from the grid

A small bar above the grid lets you pick a Year and Term, then either click the printer icon on a student's row for their individual card, or Print class report cards for everyone in the selected class at once.

Exporting

The Export button downloads the currently selected class's grades as PDF, Excel or CSV.

Empty states

  • No class picked yet — the grid area just says Pick a class
  • Class has no students — No students in this class
  • Class has no grades saved yet — No grades entered yet, with an Enter the first grade button

Entering Grades

Click Enter grades from the Gradebook grid (it carries over your selected class and subject), or Manage entries → Enter grades from elsewhere. This opens a dedicated screen for typing in a whole class's marks for one assessment at a time.

Term and year

Academic year and Term are dropdowns fed from the terms your school has actually configured in Settings — not free text. If the school year you've selected has no terms set up yet, the Term dropdown is disabled and reads "No terms — add one in Settings", and an amber banner at the top of the page repeats the same warning so you don't save marks that a report card later can't find.

What you're about to save

A strip along the top always shows exactly what the marks below will be saved as: assessment type, exam name (if you gave one), date, "out of N marks", and the term. Click Change to open the full settings form:

WARNING

If you change the maximum score after you've already typed some scores, an amber banner warns you that those scores will be saved against the new maximum — not rescaled, just reinterpreted. Double-check before saving if you see this.

The grade grid

One row per student: name, admission number, a score box (out of the maximum), and the calculated percentage. A student marked as not taking this subject appears greyed out with a Not taking this subject label and can't be scored.

If marks already exist for the exact class, subject, term, year and assessment type you've selected, the grid pre-fills them and a blue banner confirms it — editing a value updates that saved mark instead of creating a duplicate. If duplicate rows are ever found for the same student, a red banner points you to Manage entries to clean them up.

Saving

Click Save grades (it reads Update grades once existing marks are loaded) to save every score you've typed in one go. You get a specific confirmation — for example "Saved 5 marks for Math · Term 2 · 2026", or "Saved 2 new + updated 3" when it's a mix of new and corrected marks.

Grade saves need a connection

WARNING

Unlike student, staff and remark changes — which queue on your device and sync automatically — grade saves go straight to the server and need a working connection. If a save fails (you're offline, or the server rejects it), the page shows an error message and your typed scores stay on screen so you can press save again. Nothing fails silently, but marks are not stored on the device: don't close the tab with unsaved scores while offline.

This applies to batch entry on this screen, inline cell edits on the Gradebook grid, and edits or deletions in Manage entries. The sync chip in the header only tracks the queued kinds of changes (students, staff, remarks) — it does not track marks. Offline saving for marks is planned and will appear here when it ships.

Managing Existing Grades

Click Manage entries from the Gradebook grid to open a searchable table of every grade already saved for a class, so you can fix or remove individual entries without re-entering a whole assessment.

Filters

  • Class — pick which class's grades to view
  • Search — by student name, subject or assessment type
  • Subject, Year, Term — narrow further; the term list is built from both your saved grades and your configured terms

If nothing matches your filters, the table says No grades match the current filters.

Editing a grade

The edit dialog lets you change the Score, Max score and Comments (up to 500 characters, printed on the report card). If the original grader is known, their name and entry date are shown for context. Save changes applies the update; Cancel discards it.

Deleting a grade

Click the trash icon and confirm. This permanently removes that one mark and can't be undone. Edits and deletions here also need a working connection — see Grade saves need a connection.
