Reports
The Reports page is where you export attendance, grades, fees and student data, and where you generate and release report cards to families.
Accessing Reports
- Look for the Analytics heading in the sidebar
- Click Reports, the third entry underneath it
The Tabs
| Tab | Contents |
|---|---|
| Attendance | Daily attendance, absentee patterns, and class-level breakdowns |
| Grades | Subject performance, pass rates, and per-student grade summaries |
| Fees | Collection rates, overdue accounts, and payment trends |
| Students | Full student list with class, demographic and contact details |
| Report Cards | Generate report card PDFs, and release them to families |
Each of the first four tabs shows who it's available to (for example, Fees is also open to Finance staff) and a note that the numbers come from live data in your school's database.
Filters
Filters differ by tab:
| Tab | Filters |
|---|---|
| Attendance | Start date, end date, Class ID (optional) |
| Grades | Class ID (optional), Academic year, Term |
| Fees | Start date, end date, Class ID (optional) |
| Students | Class ID (optional) |
The Academic year and Term filters on the Grades tab are dropdowns fed from the terms your school has configured in Settings — the same lists the Report Cards tab uses. Each starts on All years / All terms, which leaves the export unfiltered; picking a year narrows the Term dropdown to that year's terms (and resets it back to All terms if you change year). Because the options come straight from your configured terms, the filter always matches how your grades were actually saved — no more typing "Term 1" and getting an empty export because the school's term is stored as "First Term".
TIP
The class filter on these four tabs is a Class ID box, not a name picker — type the class's ID number, or leave it blank to include every class.
Export Formats
Each of the four tabs offers three buttons: PDF, EXCEL and CSV. Click one and the file downloads to your device. A spinner shows on the button that's working, and a confirmation appears once it's done.
Report Cards Tab
Scope
Choose Single student to print one report card, or Whole class for one PDF with a page for every active student in the class.
Pre-flight checklist
Before report cards will generate, an amber box lists everything still missing:
- School profile filled in
- Academic year set
- Term calendar configured
- Classes created
- Subjects created
- Students enrolled
- Grades entered for the selected term
Finished items show a checkmark and strike through; unfinished ones are links straight to the page that fixes them. Once every item is done, the checklist disappears and the download button unlocks.
Form
| Field | Description |
|---|---|
| Academic year | Dropdown of years drawn from your settings and configured terms |
| Term | Dropdown filtered to terms that exist for the chosen year — disabled with "No terms — set up in Settings" if there aren't any yet |
| Student (single student scope) | Searchable dropdown of enrolled students |
| Class (whole class scope) | Dropdown of your classes |
Comments (single student only)
Once you've picked a student and a term, a comments panel appears:
- Class teacher comment and Principal comment — free text, printed on the card
- Conduct grade (optional) — a short label like "Excellent"
Each field saves automatically when you click out of it; a small Saving… label confirms it's going through.
For whole-class scope, comments aren't available here — the panel instead points you to switch to Single student, or have teachers enter comments from the gradebook.
Downloading
Download report card (PDF) (or Download class report cards (PDF) in whole-class scope) is disabled until the pre-flight checklist is complete. The generated PDF includes term-bounded attendance, your school's logo, and whatever grading scale you've configured. Report cards are PDF only, and available to School Admin, Principal and Teacher roles.
Releasing Report Cards
Below the report card form, Release report cards to parents and students lists every term, grouped by academic year, with its dates and status:
| Status | Meaning |
|---|---|
| Released | Parents and students can see that term's grades in their own dashboards; the release date shows next to the badge |
| Not yet released | Grades for that term stay hidden from families |
Click Release once a term's grades are final, or Unrelease to pull them back if you need to fix something.
See Report Cards for the day-to-day workflow around individual cards, and the Report Cards guide for the end-to-end pipeline.
Best Practices
- Run the pre-flight checklist early — fix missing setup well before report cards are due, not the night before
- Release deliberately — only release a term once every teacher has finished entering grades for it
- Use Unrelease sparingly — it's for genuine corrections, not routine editing
- Export regularly — a monthly attendance or fees export catches problems before they compound
